Background
Ubberud Culture & Movement Center is a local hub for sports and cultural activities, hosting a wide range of sports and events. When Anette Dal Hansen took over as center manager in february 2021, she faced a challenge: while the facility’s bookings seemed full, many time slots went unused. There was great potential to optimize facility usage, but the necessary tools to monitor and manage bookings efficiently were missing. The solution came in the form of HallMonitor.
Challenge
Upon starting her role, Anette was introduced to a paper-based system that showed which sports clubs had booked the facility. However, in practice, many slots remained empty, especially during periods like August and September when football season hadn’t started yet and other sports weren’t fully utilizing their booked hours. It became clear that a more accurate overview of the facility’s utilization was needed, along with a solution to help optimize the capacity of the facility.
Solution
In mid-2022, Anette implemented HallMonitor to gain a clearer picture of facility usage. With HallMonitor, she could accurately see when the facilities were being used and when they were left idle, allowing her to take decisive action.
First, she informed the sports clubs that booked times needed to be actively used, as the municipality evaluated not just rental income but the actual occupancy of the facility. Then, Anette began filling unused hours by attracting external users, such as outside sports clubs, private events, and activities like children’s parties and inflatable play areas. Additionally, she introduced new initiatives like power training sessions, which could run alongside other sports to further optimize space usage.
Results
The use of HallMonitor has led to significant results at Ubberud Culture & Movement Center. Occupancy has increased dramatically, and municipal data shows that the facility now has an 80% utilization rate during peak hours. Ubberud Culture & Movement Center is even the only facility in the survey where the usage exceeds the booking rate – a clear indicator of effective facility management.

The financial results also support the impact of these optimized processes. From 2020 to 2023, rental income for purposes other than sports club use increased from DKK 12,000 to DKK 53,500, highlighting a significant rise in private event bookings and external activities.
